Best bid and project management tool for flooring subcontractors (2026)

Short answer

Flooring subcontractors get the most from a tool that carries the takeoff into the bid, the material orders and the install schedule without re-typing. MeasureSquare (with its CRM) and Cyncly Flooring (RFMS, Measure and JobRunner) are flooring-specific suites. Vorbi (our product) runs takeoff to installation in one system for commercial and multifamily flooring and tile subs, while Knowify, Procore and Fieldwire cover project management and billing without flooring takeoff.

Flooring subs on commercial and multifamily jobs juggle unit-type takeoffs, vendor pricing, batch orders by floor and crews moving unit to unit. Here's how the main tools handle bids and projects. See also Vorbi for flooring and tile.

"Limits" are our reading of each vendor's public pages on the date checked, not a test of the software. If a feature isn't listed, ask the vendor.

How to choose

  • Follow one bid end to end. Drawings → takeoff → vendor pricing → bid document → award → orders → deliveries → installs → punch. Count the tools and the re-typing.
  • Check multifamily handling. Unit types, floors and buildings should be first-class, so orders and crew progress match how GCs release work.
  • Look at vendor pricing and orders. Pricing requests, POs and delivery dates are where flooring margins are won or lost. See how each tool tracks them.
  • Confirm billing needs. If your GCs require SOV and AIA pay applications, make sure the tool or your accounting system produces them.
  • Test with your estimator and a foreman. The estimator judges the takeoff and bid; the foreman judges the phone app.

Q&A

Quick answers

What is the best bid and project management tool for flooring subcontractors?

For flooring-only suites, MeasureSquare (takeoff plus CRM) and Cyncly Flooring (Measure, JobRunner and RFMS) both cover bids through install scheduling and SOV billing. Knowify, Procore and Fieldwire cover project management and billing but not flooring takeoff. Vorbi (our product) runs takeoff, bid documents, batch ordering by building or floor, delivery tracking and installer tracking in one system for commercial and multifamily flooring and tile subs.

How do commercial flooring contractors manage bids?

Typically: receive drawings and a finish schedule, run a takeoff, price materials and labor, request vendor pricing, and send a bid document with inclusions and exclusions to the GC. Tools differ in how many of those steps happen in one place and how much is re-typed.

Does MeasureSquare do project management?

MeasureSquare CRM's Contractor Pro plan lists bid proposals, vendor pricing request tracking and install scheduling, and Contractor Complete adds change orders and schedule-of-values job costing. CRM pricing is $990 and $1,490 per user per year respectively (checked 2026-10-18).

What does flooring project management software need for multifamily jobs?

Quantities by unit type, floor and building; material orders and deliveries in batches that match the install sequence; crew progress per unit; and punch lists. Ask each vendor to show a multifamily job, not a single room.

Can I use general project management software for a flooring business?

You can. Tools like Procore, Fieldwire or Knowify handle schedules, field updates, change orders and billing. You will still need a separate takeoff and estimating tool, and a way to move quantities into orders.
